The Workplace Strategy for Space Efficiency of an Independent State Agency

Abstract
The workplace is a crucial component of Facility Management that significantly impacts the work activities of people and the budgetary costs of business. Workplace strategy is essential to maximize efficiency in the use of the workplace. It is noteworthy that the most extensive users of the workplace in the country are the state agencies. This research study employs a mixed-method approach to comprehensively investigate working styles, needs and trends in workplace use, the current challenges, and barriers in the workplace use, and explore workplace strategy to enhance space utilization and propose recommendations for improving space efficiency of the independent state agency, a case study of the Office of Insurance Commission (OIC) Building. Data was gathered from a focus group interview with a sample group of 95 executives and employees of the Office of Insurance Commission (OIC). Then, data were analyzed using content analysis techniques.
The findings reveal the current workplace of the case study do not align with their staff behavior and needs, and the executive vision of supporting hybrid working. There is a significant decrease in the use of personal workstations and an increased demand for shared collaboration spaces, need for technology, and alternative facilities. The state agencies should develop workplace strategies to increase workplace efficiency by changing the workspace to be an activity-based workplace. Implementing this workplace strategy can lead to a notable space efficiency improvement of 52.09% compared to current space utilization. Therefore, the research methodology of the study will be the guideline for facility management to exhibit the workplace strategy for other independent state agency space efficiency.
