Abstract
บทความนี้เป็นบทความทางวิชาการที่นำเสนอแนวทางการจัดทำคำอธิบายเอกสารจดหมายเหตุมหาวิทยาลัยโดยใช้มาตรฐานการจัดระบบและให้ข้อมูลจดหมายเหตุของสภาการจดหมายเหตุระหว่างประเทศ คือ ISAD(G) (General International Standard Archival Description) ร่วมกับแนวคิดการกำหนดคำอธิบายเอกสารจดหมายเหตุดิจิทัลของหอจดหมายเหตุแห่งชาติเพื่อให้ครอบคลุมและรองรับเอกสารจดหมายเหตุมหาวิทยาลัยทุกรูปแบบ ไม่ว่าจะเป็นเอกสาร สื่อโสตทัศนวัสดุ วัสดุสิ่งของ และสื่อดิจิทัล โดยมีการให้แนวทางมาตรฐานการกำหนดคำอธิบายเอกสารจดหมายเหตุได้ 7 องค์ประกอบหลัก และ 26 องค์ประกอบย่อย ซึ่งองค์ประกอบหลักจะกล่าวถึง 1) คำอธิบายเกี่ยวกับเอกสาร 2) คำอธิบายเกี่ยวกับบริบทของเอกสาร 3) คำอธิบายเนื้อหาและโครงสร้างของเอกสาร 4) คำอธิบายเกี่ยวกับเงื่อนไขการเข้าถึงและการใช้เอกสาร 5) คำอธิบายเกี่ยวกับสิ่งที่เกี่ยวข้อง 6) คำอธิบายเพิ่มเติมอื่น ๆ หรือส่วนหมายเหตุ และ 7) คำอธิบายเกี่ยวกับการควบคุมการทำคำอธิบายเอกสาร จากแนวคิดการกำหนดคำอธิบายเอกสารจดหมายเหตุมหาวิทยาลัยเพื่อจำแนกและอธิบายลักษณะเนื้อหาและบริบทของเอกสารจดหมายเหตุมหาวิทยาลัย ช่วยให้ผู้ใช้บริการสามารถเข้าถึงสารสนเทศที่มีในจดหมายเหตุมหาวิทยาลัย และเป็นการให้รายละเอียดคำอธิบายจดหมายเหตุที่มีอยู่ได้
This academic article presents guidelines for preparing a description of university archives using the archival standards and systems of the International Council on Archives’ ISAD(G) (General International Standard Archival Description), together with the concept of describing digital archives of the National Archives to cover and support all forms of university archives whether they are documents, audio-visual media, materials, or digital media. The standard guidelines for describing archival documents comprise 7 main elements and 26 sub-elements. The main elements are 1) Identity statement area, 2) Context area, 3) Content and structure area, 4) Conditions of access and use area, 5) Allied materials area 6) Note area; and 7) Description of control area. From the concept of defining the description of university archives in order to classify and describe their nature, content, and context, this allows service users to access information in the university archives and provides a detailed description of existing archives.
